We are recruiting an Administrator & Receptionist to provide administration and reception support to managers and front-line staff across the early help service and provide a welcoming first point of contact. To provide database maintenance – access and update relevant databases, generate reports for management information, and organise and maintain records and documents using the appropriate process and system.
Responsibility
Responsible for taking electronic payments from service users and providers and raising POs and invoices as necessary. Database maintenance – access and update relevant databases and generate reports for management information promptly and efficiently. To support all staff and partner agencies and to collect attendance, record all contacts, and provide this information to the FWC Support Officer.
Qualification – Essential
GCSEs or equivalent to include Maths and English.
· Educated to at least Level 3 or equivalent.
· A relevant administrative/business qualification or equivalent experience.
· Evidence of significant relevant Continuing Professional Development (CPD).
· Advanced user –Microsoft Office, Word, Excel, PowerPoint, Outlook, social media and
CRM.
Essential - Skills, Abilities & Experience
· Full DBS and ideally experience working in a school or commercial (non-domestic)
environment.
· Knowledge and experience in administrative systems, databases, and IT, including setting
up databases to collate and record statistical, financial, and other information.
· Knowledge and experience in producing detailed reports from multiple information sources.
· Excellent knowledge of services and resources for families.
· Knowledge of financial processes, PO and invoicing.
· Experience in providing front-line reception support in a busy environment.
· Experience in providing support to management.
· Experience setting up databases or spreadsheets to collate and record statistical, financial,
and other information.
· Experience working to deadlines with competing priorities in a busy environment.
· Experience in managing premises.
· Excellent communication skills, communicating clearly in writing and verbally with service
users, carers, and other professionals.
· Ability to work in partnership with other agencies.
· A collaborative corporate player with a strong team spirit and respect for others.
· Ability to demonstrate a customer-focused approach with a personal commitment to service
improvement, equality, diversity, and inclusion.
· Ability to create a positive, family-friendly environment with informative, relevant material for
families and partners.
· Ability to prioritise tasks and workload.
Essential Compliance Requirements
· Three Years of References.
· Enhanced DBS- essential
· A pre-engagement screening is mandatory for this role.
