We are recruiting a Property Administrator: - with dynamic, diligent, and professional property Administrator experience and strong administrative and organisational skills to assist our fast-paced Block Management department. The role is suited to a highly organised candidate, preferably with housing experience and looking to progress towards becoming a Property/Block Manager within the next 18 months:
Responsibility
To ensure the smooth running of the department, including organising and monitoring works and ensuring timely completion of compliance checks within legal parameters. Assist in the maintenance planning cyclical, responding to emails requests from stakeholders, taking minutes of meetings, and preparing reports and documentation as requested by management:
Qualification – Essential
· Educated to GCSE level or equivalent
· Degree or relevel experience
· A full driver's licence is desirable but not essential
· Advanced –Microsoft Office, Word, Excel, Outlook, PowerPoint, and social media:
Essential - Skills, Abilities & Experience
· Solid administrative and customer service via phone, email and in person
· Proven record-keeping experience ensuring the database is updated and accurate
· Solid experience dealing with client correspondence, works orders, quotes, and call
notes
· Knowledge of monitoring emails, activities, works orders, database reports and status
updates to ensure service level KPIs are kept
· Knowledge of repair times, sales pack turnaround, email/letter responses, etc
· Experience in monitoring approved contractors' databases, insurance, and accreditation
renewals
· Able to assist with statutory consultation procedures under the supervision of
management
· Able to assist with site visits and inspections to check reports and completed works
· Experience liaising with leaseholders and block directors
· Ability to update leaseholder and tenant information, ensuring data are accurate
· Experience liaising with solicitors, accountants, architects, insurance, and service
providers
· Able to demonstrate tact and diplomacy in handling sensitive matters
· Knowledge of data protection governance and confidentiality procedures
· Confident communicator with excellent interpersonal skills
· Proven team player with the ability to multi-task and work to deadlines
· Good work ethic – punctual and reliable
· Computer literate with good knowledge of Word, Excel, and Outlook
Essential Compliance Requirements
· Three Years of Reference
· A pre-engagement screening is mandatory for this role
· A full driver's licence is desirable but not essential
